Cancellation Policy

At Willa Healthcare Family Clinic, the appointment you book is a promise we make to you, and a promise we make to every other family in Savage who is waiting for that same slot. We hold the time, the room, the provider, and the staff just for you. When that time is not used, a neighbor waits longer, a child stays sick a little longer, and a parent puts off care one more week. So here is how we ask you to partner with us. If you need to cancel or move your visit, please tell us more than twenty four hours before your appointment. Call or message us. Cancellations made more than 24 hours in advance are not charged. We will help you find a new time the same week whenever we can. If a visit is cancelled inside the 24 hour window, or if you do not arrive for your appointment, a fee of 75% of the visit cost will be charged to the card on file. This fee applies to every cancellation and every no show inside that window. There are no waivers, no first time exceptions, and no case by case carve outs. We are saying this plainly so that no family is ever surprised, and so that no family ever has to wonder whether the rule applied to them and not to someone else. The fee is the same for everyone, every time, including for our own family and friends. A fee that actually matches the cost of an empty slot is what protects access for the next family in line. When you confirm your visit, you are choosing to show up for yourself and for your neighbor. To make this fair, we will send you reminders by text and email well before your appointment, so you have every chance to confirm, move, or cancel. Minnesota winters are real, and we plan for them. If our clinic closes for weather, or if we have to cancel on you for any reason, you will not be charged. By booking with us, you are agreeing to this policy, and we are agreeing to show up for your family with close, clear, coordinated care, every visit, here in Savage. Same week appointments, lab results returned promptly, referrals tracked to completion, and a provider who knows your story. That is the standard we hold ourselves to, and the standard we ask you to hold us to. Thank you for being part of this community here.
